Privacy policy

Introduction#

STARC attaches great importance to the protection of your personal data. This policy explains which data we process when you use the website www.starc.be or contact us, why, for how long and what your rights are, in accordance with the General Data Protection Regulation (GDPR, Regulation (EU) 2016/679) and the Belgian Act of 30 July 2018.

Data processed and purposes#

1. Contact form

Data: name, email address, telephone number (optional), project type, location (optional), estimated floor area (optional), estimated budget (optional), description of your project.

Purpose: to answer your request, carry out an initial assessment and, where appropriate, prepare a quotation.

Legal basis: pre-contractual steps taken at your request (Article 6(1)(b) GDPR).

Your message is sent to us by email, through the Resend email delivery service, to STARC's mailbox. It is not stored in a database of the website.

2. Project configurator

Data: first name, last name, email address, telephone number (optional), message (optional), characteristics of your project (type of works, floor area, postcode, technical and finishing choices), budget, timing and how far your plans have progressed, as well as the estimate and priority score calculated from your answers.

Purpose: to provide you with an indicative estimate, answer your request, prepare a first meeting and, where appropriate, a quotation. The priority score is used only to organise our replies: it does not lead to any automated decision about you, as every request is reviewed by a member of the team.

Legal basis: pre-contractual steps taken at your request (Article 6(1)(b) GDPR).

Your request is sent to our automation tool (n8n, hosted by Hostinger), which emails it to STARC, notifies the team through our internal messaging service (Slack) and records it in our request tracking database (Airtable).

If your project matches our services, the configurator offers you the option of booking a meeting through Calendly. Your name, your email address and a summary of your project are then passed to Calendly to pre-fill the booking. Calendly's privacy policy applies to that service.

3. Contractual relationship

If you entrust us with an assignment, your data is processed to perform the architect's contract and to comply with our legal obligations (professional conduct, accounting, ten-year liability).

Legal basis: performance of the contract and legal obligations (Articles 6(1)(b) and 6(1)(c) GDPR).

4. Browsing the website

Technical data: IP address, browser type, pages visited, date and time, the host's technical logs.

Purpose: security, proper operation of the website and prevention of abuse.

Legal basis: STARC's legitimate interest (Article 6(1)(f) GDPR).

The website does not use any audience measurement tool. The maps on the Projects and Contact pages are loaded from MapTiler's servers, which receive your IP address in the process, without setting any cookie.

5. Social networks

The links to Instagram, Facebook and LinkedIn are plain links: no module from these networks is loaded on the website. When you follow them, the privacy policy of each network applies.

Recipients and processors#

Your data is never sold or transferred to third parties for commercial purposes. It is accessible only to the members of the STARC team involved in your request and, if your project requires technical studies, to Optibim SRL, our associated engineering firm.

We use the following technical service providers, bound by a data processing agreement:

Calendly LLC (United States) is involved only if you choose to book a meeting from the configurator.

Transfers outside the European Union#

Some providers are based in the United States. These transfers are governed by the EU-US Data Privacy Framework where the provider is certified under it, or otherwise by the standard contractual clauses of the European Commission. Switzerland benefits from an adequacy decision of the European Commission.

Retention periods#

Contact form and configurator requests that are not followed up: 3 years from the last exchange.

Client files: for the duration of the assignment, then 10 years after acceptance of the works (ten-year liability), and 7 years for accounting records.

Technical logs: in line with the host's policy, normally a few weeks.

Your rights#

You have the right of access, rectification, erasure, restriction of processing, objection and data portability, as well as the right to withdraw your consent at any time where processing is based on it.

To exercise these rights, write to info@starc.be stating your request. We reply within one month. Proof of identity may be requested in case of reasonable doubt.

Complaints#

You may lodge a complaint with the Belgian Data Protection Authority, rue de la Presse 35, 1000 Brussels, contact@apd-gba.be, www.dataprotectionauthority.be.

Security#

STARC implements appropriate technical and organisational measures: encrypted connection (HTTPS), restricted access, service providers offering sufficient guarantees.

Cookies#

The use of cookies is described in our cookie policy.

Changes#

This policy may be updated. The date of the last update is shown at the top of the page.
